Working remotely is a skill that is learned and improved over time. But now, due to the Covid-19 pandemic, millions of individuals across the UK have had to make the switch to working remotely, without any experience or the correct equipment.
Ali Greene, founder of Cohana – a company striving to help redefine how remote working works by educating teams on how to do their best work wherever and whenever, shared her advice on how to manage a remote team throughout the Covid-19 pandemic.
Question: In your experience, what’s the best way to structure morning stand-ups or so-called ‘update’ meetings, and how frequently do you do them.
Answer: First of all, stand-ups don’t need to take place everyday. Rather, they can take place weekly – either at the start or the end of the week. Aim for one ‘larger’, more in-depth meeting on a Monday, followed up by a catch-up call at the end of the week. Always keeps stand-ups quick moving and to-the-point.
Question: For managers who are used to working physically side-by-side with their team, do you have any advice for dealing with the feeling of ‘lack of control’ or fears of ‘are my team coping’ or ‘are they hitting their deadlines?’
Answer: It’s important to be open and honest with your team – communication is a two-way street. Tell them what you need from them and reassure yourself that you are indeed in control. It’s hugely important to be granular with details and set deadlines so everyone involved is aware of all expectations.
Question: For video conferencing/comms, what is your preferred tool and why?
Answer: Zoom! Zoom paid basic plan allows up to 100 people and break-out rooms, which are great. Alternatively, Asana is a great all in one tool that combines comms with tasks.
Question: For organisational/tasks, what is your preferred tool and why?
Answer: Monday is a great tool for creatives due to color-coding and state of tasks. Slack is great for segmenting both information and tasks into different channels. It’s important to experience the with different tools – everyone is different in terms of how their brain works.
Question: How do you deal with employees on a ‘makers’ schedule, who can find the constant communications stressful and disruptive to their focussed work.
Answer: first of all, get them to tell you when they’re most productive and when they want to block time. It’s important to not just schedule a meeting and assume all parties can make it – it’s always a two-way street. Witch your focus to specific deliverables and deadlines, rather than consistent comms.
